    Inviting Your Team and Setting Roles in HomeWatcher

    Most home watch businesses are an owner plus a handful of field techs, and HomeWatcher's team setup is built for exactly that. You invite people by email, they accept and join your business, and a small set of sensitive actions are reserved for the right roles. There is no complicated permission matrix to configure, just a simple, shared workspace with a thin gate over money and team management.

    Everyone you invite works inside one shared business: your clients, properties, schedules, visits, reports, and invoices are all there for the team to work on together. What roles change is what each person is allowed to do with the privileged settings, not which records they can open.

    The three roles

    • Owner has full control, including billing and connecting payment tools, plus managing the team.
    • Admin can invite, resend, and cancel team invitations, but cannot manage billing.
    • Member is your standard field role, able to work on the business's visits and reports.

    A helpful way to think about it: roles control privileged actions such as billing and team management. Assigning a visit to a member is about organizing who does what in the field, and the web app still lets any team member open the business's records, so treat assignment as coordination rather than a lock on what someone can view online.

    How to invite a team member

    1. Go to Business → Team. You will see an invite card, a list of current members, and any pending invitations.
    2. Enter the new person's email address and choose their role.
    3. Send the invite. They receive an email with an accept link that stays valid for seven days. If they are already a member or already have a pending invite, you will get a clear inline message instead of a duplicate.

    How a teammate accepts

    The person you invited opens the link from their email. If they do not have an account yet, they register; if they already have one, they sign in. Once they accept, they are attached to your business with the role you chose, and they show up in your members list. The email they sign in with must match the address you invited, which keeps invitations from being forwarded and accepted by the wrong person.

    Managing members and invitations

    Your members table lists everyone on the team with their name, email, and a role badge. The pending-invitations table shows who has been invited but has not joined yet, along with whether each invite is still pending or has expired, and gives owners and admins quick resend and cancel actions. If an invite has lapsed, resending refreshes its seven-day window.

    Keeping billing safe

    Because only the owner can reach billing and connect payment tools, you can add admins and members freely without worrying that someone will change your subscription or payment setup by accident. It is a simple way to share the day-to-day workload while keeping the money decisions in one set of hands.
